By submitting an application to the ITB Americas 2026 Hosted Buyer Program, applicants acknowledge and agree to the following terms and conditions:

I. Application & Approval

• Applications are open until 31 August 2026.
• Participation is subject to approval by the ITB Americas Hosted Buyer Team.
• Spaces are limited and allocated on a first-come, first-served basis, based on qualification and relevance.

II. Cancellation and No-Show Policy

• If a buyer is unable to participate in ITB Americas 2026, they must notify the organizers in writing by email to [email protected] no later than 1 October 2026.
• Cancellations received after 1 October 2026 by Hosted and Partially Hosted Buyers will be subject to a cancellation fee of USD 500. This fee does not apply to Trade Buyers.
• The registration fee is non-refundable under any circumstances, including cancellation or no-show.
• Buyers who cancel after booking their flights, or who fail to attend the show, will not be eligible for any travel reimbursement. Purchasing travel insurance is strongly recommended.

III. Flight Reimbursement Policy

• Fully hosted buyers are eligible for reimbursement of their economy-class round-trip airfare to Guadalajara, up to the applicable regional cap (USD).
• Regional caps vary by market and are calculated based on the applicant’s geographic location. Buyers should refer to the Regional Caps page for full details.
• If the airfare cost exceeds the assigned regional cap, the reimbursement will be limited to the maximum amount of that regional cap.
• If the airfare cost is lower than the assigned regional cap, the reimbursement amount will correspond to the actual cost of the airline ticket.
• Reimbursements will be processed within approximately three weeks after the show, once attendance and hosted buyer commitments have been verified.
• Cancellations made after flight booking, or failure to attend the show, will result in ineligibility for reimbursement.
• Reimbursement Process Required Documentation (for Fully Hosted Buyers only). To process the flight reimbursement, Fully Hosted Buyers must submit the following documentation:
• Buyer’s passport.
• Official event badge / registration confirmation.
• Proof of completion of the required 27 pre-scheduled meetings.
• Proof of payment for the airline ticket, clearly showing:

  • Ticket amount
  • Payment method (must belong to the Hosted Buyer or the buyer’s company)
  • Name of the person or company making the payment
    • Important Note: In accordance with Mexican legal and fiscal regulations, flight reimbursement can only be processed if the airline ticket was paid directly by the invited buyer or by the buyer’s company. Tickets paid by third parties are not eligible for reimbursement.
    • Required Banking Information for Reimbursement. To process the reimbursement, the following banking details must be provided:
  • Bank name
  • Account holder’s name (Hosted Buyer or company)
  • Bank account number
  • IBAN code (if applicable)
  • CLABE (for Mexican bank accounts only)
  • SWIFT code (for international bank accounts)
  • Bank address
  • RFC or Tax ID
  • Important Note: All banking details must belong to the Hosted Buyer or to the company the Hosted Buyer represents. Reimbursements cannot be processed to third-party accounts.

IV. Accommodation & Transfers

• Fully hosted and partially hosted buyers will receive up to four (4) nights of complimentary accommodation at the official 4-star hotel, from 9–13 November 2026.
• All hosted buyers will be accommodated at the same official hotel to facilitate logistics and shuttle services.
• For accommodation and transportation planning purposes, hosted buyers must provide their arrival and departure schedules, including flight details, within the deadlines communicated by the ITB Americas Hosted Buyer Team.
• Official transfers are available exclusively for Fully Hosted and Partially Hosted Buyers, and will operate on designated dates and time windows. Transfer schedules will be communicated at least two weeks before the Show.

V. Program Integrity
These policies are in place to ensure the integrity, fairness, and effectiveness of the ITB Americas Hosted Buyer Program for all participants.
ITB Americas reserves the right to modify or withdraw hosted buyer benefits in cases of non-compliance with program obligations.
